Struggling to track missing items in Sales or Purchase transactions?

Have you ever wondered why some expected items are missing in your sales or purchase transactions?

Now, with the “Missing Items” feature in the Open Items List Report, you can quickly identify items that should have been included but were left out.

This enhancement makes it easier to:

  • Track unfulfilled items in open transactions.
  • Identify inventory gaps before they impact sales or production.
  • Improve order accuracy and prevent stock shortages.

Where to Find It?

  • Reports → Sales / Purchasing/Inventory → Open Items List

Select “Missing Items” to filter and view only missing records.

 Real-World Scenarios:

Sales Orders– A customer places an order for 10 products, but only 8 are added to the Sales Order due to a manual entry mistake. Using the “Missing Items” filter, the sales team quickly identifies the missing 2 items and ensures the customer gets the correct order.

Purchase Orders– The procurement team creates a PO for 500 units of raw material, but an essential component was accidentally skipped. By running the Open Items List Report with “Missing Items”, they spot the error before submitting the PO—avoiding production delays.

Inventory Planning- Your warehouse team expected 5 new items in stock, but only 3 were received. Using the Missing Items filter, they confirm that 2 items were never included in the original order and take corrective action.

In SAP Business One, Form Settings allows you to customize the display of columns. With the search functionality, you can quickly find the column you need, making the process simpler and more efficient.

Customization and flexibility are essential for adapting the software to your needs. In SAP Business One, Form Settings allow each user to choose which columns appear in a document or report table, in what order and which should be editable or read-only. These settings are saved until you decide to change them again.

If you’ve ever used this feature, you’ll know that sometimes the list of available columns can be long, making it difficult to find exactly what you’re looking for. To make this process simpler and more efficient, SAP Business One includes an enhanced search in the Form Settings.

When you enter a term in the search, SAP Business One looks for all the columns that contain that value, rather than just those that start with it. In addition, the “Find Next” button allows you to quickly scroll through the results, making it easier to identify the column you want.

Less time wasted, more efficiency in your day-to-day work.

This week, we talk about article duplication in SAP Business One. Now, you can choose whether to copy barcodes as well, ensuring greater flexibility in managing your records.

There are so many advantages in the ability to duplicate records – no wonder it is widely used. It saves efforts, time, and helps reducing human errors. In SAP Business One you can duplicate documents and master data records. In the duplicate instance you can make the required changes, choose the “Add” button and… done! Of course, in each type of document or master data there might be specific use-cases or best practice. Take for example the Item Master Data. If you duplicate Item to which bar codes are assigned, these bar codes are duplicated as well and assigned to the duplicated item. A new option in the “General Settings” window enables you to choose whether to duplicate the bar codes or not, based on your business needs:

This checkbox is selected by default. To prevent duplicating the bar codes, deselect the checkbox.

This week, we talk about copying notes between documents in SAP Business One. Now, you can define whether you only want to copy manually entered remarks, ensuring greater control over the information transferred between documents.

Processes are the backbone of businesses. It can be a simple process consisting of few stages or a very complicated one involving sub processes and multiple steps. Either way, we continuously try to improve them. One of the common processes used in SAP Business One is copying base documents to target documents. As part of this process, the content of the Remarks field is copied to the target document with an addition: the doc number or BP reference number of the base document.

For those of you who prefer to copy only the manually entered remarks, SAP Business One introduces a new setting:

This way, the Remarks field in the target document includes only the manual remarks entered in the base document, and if you want to find the base document you can always use the option “Base Document” in the context menu or toolbar.

This week, we talk about the functionality to copy attachments between documents in SAP Business One. With this option, you can define whether attachments from the base documents should be copied to the target documents, ensuring that all the relevant information follows the process without the need for manual actions.

We all appreciate well defined processes. Why? It’s simple! Good process makes your work more efficient: saves you time, effort, money… enables you to do your work better. Think about sales process for example: you start with Sales Quotation, continue to Sales Order, Delivery (if goods are involved), and A/R invoice. The “Copy To” buttons in base documents makes the transition to the next stage efficient and accurate – data copied, references are made and paper trail is recorded. And the attachments? Should attachments be carried on to target documents along the process? It’s your decision to make! SAP Business One introduces a setting allowing to copy attachment from base document to target document. You can set the default behavior for the company in the Document Settings window:

By default this option is not selected. When selected, attachments from base documents will be copied into target documents. For exceptional cases, where the company setting does not fit, you can change the setting for the specific document in the Attachments tab:

This week, we talk about the Relationship Map in SAP

It doesn’t matter whether you work in a paperless office or prefer hard copies – at the end of the day, all business operations are recorded in documents and transactions. When you need to find a specific invoice or order, check a remark or detail, a single document doesn’t always tell the whole story.

The Relationship Map in SAP Business One provides detailed context, allowing you to visualize the link between documents at various levels:

Business One, a tool that makes it easier to visualize the links between documents and transactions. With this feature, you can switch between various views, such as document tree, related articles and referenced documents, providing a complete overview of the context of each operation.

You can switch between different views, such as document tree, posting details, related articles, referenced documents, general agreements and selection lists. Each view shows its relationship map, giving you a complete overview of the document. In addition, your selections are recorded, allowing you to easily navigate between different views with the “Go Back” and “Go Forward” buttons. The Relationship Map is available in the context menu and in the “Go To” menu.

Available in SAP Business One and the version for SAP HANA.

This week, we talk about how SAP Business One now offers an enhancement to user-defined forms, allowing the elements in these forms to automatically adjust by resizing the form size, just as with standard forms. This feature provides a more consistent and fluid experience for all users, ensuring an efficient and integrated working environment.

User-defined fields, tables, objects, and… forms. All of these enable to customize and adjust SAP Business One to fit exactly the customer needs. Once the implementation is done and the customer goes live, end-users do not distinguish between “out-of-the-box” elements and user-defined elements. For them, this is one piece, and as such they expect seamless look and feel. To support holistic and consistent user experience for original forms and user-defined forms, a new setting is added:

When selected, the different elements on your user-forms are resized automatically when changing the user-form size, same as with original SAP Business One forms:

This week, we talk about how SAP Business One now allows you to assign multiple Business Partners to a single Equipment Card, making it easier to manage equipment shared between companies. With this feature, you can also configure the automatic addition of partners to equipment cards from new documents, making the process more efficient.

Many pieces of equipment are used by more than just one person or company. Imagine, for example, a coffee machine that serves two different companies in the same building.

To reflect this reality, SAP Business One now allows you to associate several Business Partners with a single Equipment Card:

When selected, a browsing button appears next to the Business Partner Code field in the Equipment Card, enabling you to assign multiple business partners and set the default one to be displayed in the field:

If you select also the option “Automatically Add Business Partners from New Documents to Existing Equipment Cards”, business partners from newly created documents where the given equipment card appears, will be added to that equipment card automatically. Note that this option is available only when automatic creation of equipment card is activated.

This week, we’ll talk about how SAP Business One offers greater flexibility in editing User Defined Fields (UDFs) in document rows. You can now allow editing of these fields even when the document lines are not editable, adapting the system’s behavior to your business needs and improving the management of information in documents.

User-Defined Fields are like spices. Similar to specific combination of spices that creates a unique flavor, the way UDFs are implemented is tailored for each business. Key advantage of UDFs is their great flexibility. UDFs in document rows become a seamless part of the document which is of course a benefit, however in sometimes it is required that UDFs would behave differently. For such use cases, SAP Business One introduces a new level of flexibility by allowing to edit the UDFs in document rows regardless the document status or row status:

For each document type, you can choose whether to open the UDFs in the document rows for editing while the document rows are not editable. For example:

This week, we’ll talk about how SAP Business One offers new options for optimizing the process of adding and managing documents in the system. Whether you’re creating sales or purchasing documents, you can save time and improve productivity by choosing between the “Add and new”, “Add and view” or “Add and close” options, adjusting the workflow to your specific needs.

Documents. Order, delivery, invoice… purchasing or sales… every business generates lots of documents every day, and some users are creating documents all day! Many times after adding a document, you want to take another look and review it. Just in case. You can either click the “Previous Record” button and hope that not too many documents were added by other users in parallel, or search for it … in a nutshell – you have to work for it… In order to save you time and increase usability and productivity SAP Business One introduces new options for adding sales and purchasing documents:

The “Add” button provides three options: “Add & New” same behavior as the “Add” button – adds the document and displays the window in an Add mode for creating additional document; “Add & View” – adds the document and displays it so you can review it once more, and “Add & Close” – adds the document and closes the window afterwards. Your last choice will appear as default the next time you open that document.
