Need More Info? Check “Row Details”

“Less is More” is what everyone says in various aspects of life – it’s used to encourage minimalism, reduce consumption, set guidelines for scenography, etc. But sometimes, when you need more – more information, more data, more insights – less is…. well, less! To get easy the way to search more information and details, SAP Business One offers to you the most different functionalities. This time, in order to obtains more details about each line of your marketing documents, purchase or sales, SAP Business One shows “Row Details” functionality.

Double-click on the document line (alternatively, use the context menu or press CTRL+L) to open the “Row Details” window, allowing you to view specific line details. Some of them will be available for updating, while others will appear in read mode only, depending on the status of the document, for example, it may vary if the document is in Open or Closed status. Note that when you update a field, the new value is entered immediately, and there is no button that indicates “Update” or “Ok” as is the usual scenario. Using the up and down arrows at the top of the window, you can easily review all the lines in the document, and the selected line will always be highlighted in the document window.
In addition, you can choose which fields you want to display in the “Row Details” window and define their sequence, using the “Form Settings” window > the “Row Format” tab:

Selecting different sets of columns and fields to show in the document preview window and in the Row Details window allows you to create a complementary view, giving you more personalized information tailored to your daily needs.

This time, we discuss the special prices for business partners theme. Sometimes, becomes difficult when we manage different advantages to different business partners, so, we release this tip to allow you to define special prices using multiple and flexible criteria. You will now be able to assign a discount percentage to a range of selected items that are applied to specific business partners during a defined date range:

But there’s more. If you want to offer more dynamic pricing, you can still offer period discounts or volume discounts. For example, let’s say the volume of sales of J.B. Officeprint 1186 printers doesn’t match with your goals and you want to make some more attractive offers. In the “Period discounts” window, which you can access by double-clicking on the article in question in the “Special prices for business partners” window, you can define several date ranges, where the discount rate is higher. By double-clicking on the selected row in the “Period discounts” window, you can still set a volume discount to be applied within a desired date range:

Once you’ve set up the best possible offers, you can use the “Copy Special Prices” feature to apply the settings to different business partners or a different range of items.

Refer Original Doc to Duplicated Doc.

The functionality of duplicating the original document is used regularly and are the various documents created through this function. With just one click you can save time, reduce manual effort and avoid some mistakes. However, is it possible to distinguish the original document from the duplicate? Yes, it is possible, SAP Business One has developed a function that allows you to create a reference to the original document when creating a duplicate:

When you click on the “Duplicate” option which appears when you press the right button of your mouse in the document, the above message appears, allowing you to create the reference. If your company follows a regular policy on this topic, you can select the “Remember my reply and don’t show it again” checkbox to reject this message in the future.

When you confirm the message, the original document is automatically set as a referenced document in the Accounting tab:

This option is supported not only in Sales and Purchasing documents, as well as in Inventory documents (Goods Issue, Inventory Transfers, and Inventory Transfer Order), Production Order, Inventory Counting, and Inventory Posting.

Find what you need in the “Form Settings”

Personalization, adaptation and flexibility…! These are the excellent features that have helped to fine-tune the software to specific needs. We can see this through the “Form Settings”, for example.

These are the “Form Settings” that allow the customer to choose which columns appear in a document or reports, in which sequence, as well as to define which ones can be editable or remain in read-only mode.

This set of columns will be saved until you want to change it again. Sometimes we come across very long lists, where you have to spend some time to find the specific column. To address this issue, SAP Business One introduces the enhanced search function in the “Form Settings” windows, with the aim of improving the customer experience and increasing customer efficiency.:

 

When you type a lookup value, SAP Business One looks for the name of the first column that contains the lookup value you entered.

Clicking on the “Find Next” button will show you the next matching result. This way, you’ll find the speaker you’re looking for while being more efficient and faster.

VAT Number Validation in SAP Business One

How many times have you had difficulty verifying your VAT Validation Number? Or is it still valid? Today we are going to show you how you can easily and quickly validate the VAT ID Validation Number of your customers and suppliers.

As such, there are different business processes where verifying the Business Partner’s VAT ID Validation Number is crucial. Secondly, the European Union recommends validating VAT ID Validation Number to prevent cases of tax fraud and evasion.

Through the new VAT ID Validation Number feature you can, with just two clicks, easily validate and verify the VAT ID Validation Number.

The first step to follow is to enable the setting. Go to General Settings => BP TAB and check the “Check NIF for Business Partners and Documents” option:

The next step will be to verify the validation of the Business Partner’s VAT Identification Number. To do this, you need to go to the Master Data of the Business Partner and choose the “Check VAT Numbers” option:

As a last step, choose the option next to the Federal Tax ID in the Business Partner Master Data and open the Verification window and you will have the validation result.

If you have followed all the steps according to this document, you will have the necessary solution for the verification and validation of the VAT Number Validation.

This solution is available in SAP Business One 10.0 FP 2105 and SAP Business One 10.0 FP 2105, version for SAP HANA for all EU countries.

Let The Tiles Tell You The Details

 

Remember that time when your boss asked you how many open orders are on your plate? And what about the open deliveries? Do you know the current number? Well, no need to drop everything and generate reports. Just look at the Web client tile. It will tell you:

The marketing documents tiles display the number of open documents of the respective type for the current user, in the given time frame. In the above example, we see that 40 minutes ago the current user had 276 open sales orders. Clicking on the timing counter at the bottom of a tile will display the updated number of the open documents for the current user, and reset the timeline to “now”:

To show the up-to-date number for specific document type, click the respective tile. If you want to update the numbers in all of the tiles at once, click the “refresh” icon for your browser.

Keep Your Accounts Confidential

Chart of accounts is the heart of the business – this is where all the numbers add up. Almost every time a user creates a document or transaction, accounts are involved – and account information can be accessed conveniently and efficiently. However, what if certain accounts contain sensitive data? Or allocated to sensitive project that involve very specific employees?
