Add Special Lines to Document Lines

I’m not sure where I got this information, maybe it was someone else’s wisdom, but I’ve found that “You should never be too careful” is a good advice, especially when it comes to business. For example, a sales quote prepared for a new client: you may have shared all the details and prices during a meeting or call, and even when the client receives the document, some questions may still arise. To achieve this, SAP Business One allows you to incorporate special line types onto marketing documents, with the aim of increasing the clarity and transparency of the respective documents:

When the “Type” column is selected in the document table, it’s possible to define a special type for the given line, – “Text” to add a line of text, where it specifies and emphasizes any important information related to the products above or below; “Alternative”- indicates that the product that appears in this line is an alternative item and should not be included in the document total (this type is only available in Sales Quotation); “Subtotal” to add a subtotal when necessary, for example in the case of a long list of items, or when there are groupings of products for different types or purposes- for example, subtotal for garden furniture and subtotal for garden lightning.

When One Item Has Multiple Codes

Some products, such as unique diamond jewelry or patented medicines, can only be purchased through the specific supplier, but these are rare cases. Nowadays, most products are provided by various suppliers and brands, although they have the same qualities, for example, matches, paper clips, etc. While you’re dealing with an inventory, it’s possible that a product will come from more suppliers or supplies to key customers, in which case you may need to use marketing documents for the product code assigned by each supplier or customer. To enable you to maintain different item codes per vendor or customer and continue to manage inventory for a single item, SAP Business One allows you to define multiple BP catalog numbers for each item:

Using the SAP ERP software, you can define catalog numbers for various products for business partners and select the “Print BP catalog number on documents” checkbox, if necessary, define several catalog numbers per article for several business partners. The BP Catalog Number can be displayed in its column in all marketing documents, and in the Form Settings window, you can select the “Print BP Catalog Number” option:

BP catalog numbers are not like the unique code you assign to each product, these can be changed at any time. If updating is required, you can use the “Global Update for BP Catalog Numbers” feature, where you can update BP catalog numbers by various intervals:

Show Only System Layouts You Need

Spring is coming! The season that is associated with blossom, revival, and … the famous spring cleaning! All of a sudden there are garage sales everywhere, and people are getting rid of all the things they don’t need anymore – taking a step towards lighter and better organized lives. So if it works that good at home, why not applying it in your business? take for example the system print layouts. When you have just started working with SAP Business One, the system layouts where the base line for the customized print layouts in your business – an anchor you can always go back to if something gets wrong, or if you want to try a new design. But if you are not using them on a regular basis, these print layouts are like those things at home that you don’t need any more and just get in the way. As a super user, you can set system layouts that are not used as “Inactive”:

When set to “Inactive”, the print layout does not appear in the list of layouts available for viewing or in the Layout & Sequence window:

However, if you want to retrieve the print layouts from the “Inactive” system as a consumer of SAP software, you can bring them back by setting them to “Active” again. Available in SAP Business One 10.0 FP 2102 and SAP Business One 10.0 FP 2102, version for SAP HANA.

SAP Business One: Update Serial Batches for More Documents

In inventory and inventory management, you need to pay special attention when you have items with serial or lot numbers. Similar to other aspects of the business, following well-defined processes and keeping records of each step are keys to a successful operation. However, to improve the monitoring and traceability of serial and batch numbers, SAP Business One expands the number of documents covered by the “Update Existing Serial or Batch Numbers” functionality:

Through this SAP functionality, the option to update serial or batch numbers for “Warehouse Transfer Orders and A/R Reservation Invoices” is now included in order to benefit from the “Manage Batches and Manage Serial Numbers” functionality. Furthermore, when using batch or serial number management, the code and name of the destination warehouses can be displayed under the respective “Form Settings” window:

This functionality is available in SAP Business One 10.0 and SAP Business One 10.0 on SAP HANA.

Indirect Sale? Fill in the BP Channel!

Building and maintaining the notoriety of a company is not an easy task, it is necessary to attract the attention of customers, through the promotion of the product or service, it is an investment that companies look for to succeed. When deals are signed, following a recommendation from a customer, or a new lead, an existing customer reference is added to the database, and then it is possible to document it in the company’s records:

According to the image, in the Customer or Lead data you can enter the reference customer code in the “BP Channel Code” field. When creating a sales document for a specific customer or lead, the names of the BP channel and the person in question are automatically filled in the respective fields:

From its functionality, you can assign a BP channel to a specific document as needed. This way, you‘ll be able to track customer satisfaction and provide special offers, discounts, etc. As well as, understand which indirect sales channels the company uses.
This role is available in SAP Business One and SAP Business One on SAP HANA.

Fine Tune Access to Numbering Series

Sweet or salty? Tough decision, right? This topic can develop a broad discussion, but instead of that let’s take an easier route and talk about a recent enhancement in SAP Business One that offers much more flexibility and allows you to adjust user authorizations for numbering series by defining additional authorization groups. Growing from 10 to 30, the use of up to 30 different groups of numbering series supports the definition of a larger set of more precise user permissions:

Once you’ve made each numbering series available to your group, you can grant each user the relevant permission for the various groups and get a more accurate permission assignment:

Example of a possible application: Imagine that your company has two sales teams for different markets. In this sense, it has defined two numbering series for the issuance of invoices to customers, one national and the other European. It will be able to go further and restrict the access of the national sales team exclusively to the national numbering series and, in turn, of the Community sales team to the European sales series, thus avoiding the mixing of different documents in the same series.

This functionality of 30 number series groups is available in SAP Business One 10.0 FP2202 and SAP Business One 10.0 FP2202, version for SAP HANA.

The item has been returned! Should I reopen an order or keep it closed?

Challenges and difficulties: what to do in the face of these setbacks? Generally, we want situations to be easy and simple. For example, in sales, it’s incredibly satisfying when a sale is successful. When the customer receives a price proposal, a corresponding order is placed, the goods are dispatched and an invoice is issued. Simple task! Sometimes the products are returned for any reason. In cases like these, a return document is created, which is attached to the contract document. However, what happens to sales orders? Should I close it now that the transaction has closed? Or should I reopen it? For every complication, there’s an SAP Business One solution that lets you choose how to handle complex scenarios.

By default, this option is not selected so when you create a returns or goods return document that is based on the sales or purchase order, or when you create a credit memo based on an invoice, the sales or purchase order remain in status “Closed”. When selected, upon adding the returns, goods return, or credit memo the status of the sales or purchase order is set to “Open”.

Depends on your business and the level of flexibility required, you can choose whether this status change will be applied always – by selecting the option “Without User Confirmation”, or keep this checkbox clear, and have system message asking for your decision every time. This functionality is available Sales Order and Purchase Order.

Need parallel blanket agreements? For sure!

Evolution, technology, competitiveness, artificial intelligence, brands, consumerism…! These are the words that best define the 21st century. In such an evolved time, it challenges our creativity to create something new and contemporary. For a company it is important to be up to date with the news of everyday life, according to its area of activity, it is through the construction of a strong brand identity and a clear differentiation that promotes the growth of the business. It is through the conquest of the target audience and the greater development in the face of the competition that companies, whether large or small, are able to stand out within a competitive market. Every company is different, by its attitude, services, pricing, SLA, office space, warehouse size and processes.

Such processes are made to ensure the success of the business and, as such, are subject to adjustments and improvements. These processes are called commercial agreements, commercial agreements are defined as long-term arrangements between a purchasing organization and a supplier, or between a sales organization and a customer, concerning the supply of goods or the provision of services over a period of time.

Through SAP Business One, we can define two types of trade agreements:

  • General commercial agreements: These are used to track compliance with terms and obtain a special bonus at the end of the year, for example, for the sale or purchase of a certain quantity of an item or to achieve a certain turnover.
  • Specific commercial agreements: These are used to track compliance with terms to obtain a special discount on a specific sales or purchase transaction. They are also used to determine a delivery schedule, for example by defining the intervals at which certain quantities of goods must be delivered.

Now that you know what trade agreements are and what they look like, SAP Business One allows you to create multiple trade agreements for a particular business partner at a specific time to support the growth of your SME:

Normally, when you are using SAP software, the “Allow multiple master contracts for the same period” check box is not selected, however, when it is selected, you can define what the template should be for the business partner. This feature can be elaborated from the relevant general agreement, as can be seen in the following image:

Need More Info? Check “Row Details”

“Less is More” is what everyone says in various aspects of life – it’s used to encourage minimalism, reduce consumption, set guidelines for scenography, etc. But sometimes, when you need more – more information, more data, more insights – less is…. well, less! To get easy the way to search more information and details, SAP Business One offers to you the most different functionalities. This time, in order to obtains more details about each line of your marketing documents, purchase or sales, SAP Business One shows “Row Details” functionality.

Double-click on the document line (alternatively, use the context menu or press CTRL+L) to open the “Row Details” window, allowing you to view specific line details. Some of them will be available for updating, while others will appear in read mode only, depending on the status of the document, for example, it may vary if the document is in Open or Closed status. Note that when you update a field, the new value is entered immediately, and there is no button that indicates “Update” or “Ok” as is the usual scenario. Using the up and down arrows at the top of the window, you can easily review all the lines in the document, and the selected line will always be highlighted in the document window.
In addition, you can choose which fields you want to display in the “Row Details” window and define their sequence, using the “Form Settings” window > the “Row Format” tab:

Selecting different sets of columns and fields to show in the document preview window and in the Row Details window allows you to create a complementary view, giving you more personalized information tailored to your daily needs.

Sometimes, becomes difficult when we manage different advantages to different business partners, so, we release this tip to allow you to define special prices using multiple and flexible criteria. You will now be able to assign a discount percentage to a range of selected items that are applied to specific business partners during a defined date range:

But there’s more. If you want to offer more dynamic pricing, you can still offer period discounts or volume discounts. For example, let’s say the volume of sales of J.B. Officeprint 1186 printers doesn’t match with your goals and you want to make some more attractive offers. In the “Period discounts” window, which you can access by double-clicking on the article in question in the “Special prices for business partners” window, you can define several date ranges, where the discount rate is higher. By double-clicking on the selected row in the “Period discounts” window, you can still set a volume discount to be applied within a desired date range:

Once you’ve set up the best possible offers, you can use the “Copy Special Prices” feature to apply the settings to different business partners or a different range of items.
